You cannot secure or budget for what you cannot see

Most organisations discover their true device count only during an audit — and it is almost never the number in the finance system. Unknown machines are unpatched machines. Unknown licences are either wasted spend or a compliance liability. Unknown warranty dates turn a free replacement into a paid one.

EGreed IT asset management gives you one authoritative register covering hardware, software, licences, warranties, ownership and condition, kept current automatically rather than by a spreadsheet someone updates twice a year.

The six lifecycle stages EGreed manages

  1. Plan — standard device builds per role, refresh cycle and budget forecast
  2. Procure — vendor-neutral sourcing, warranty selection, delivery and verification
  3. Deploy — imaging, encryption, EGREED ID enrolment, tagging and user handover
  4. Operate — patching, monitoring, maintenance visits and support
  5. Refresh — condition grading, redeployment to lower-demand roles or replacement
  6. Dispose — certified data destruction, e-waste recycling and a disposal certificate

What the asset register records

Field groupCaptured data
IdentityAsset tag, serial number, model, manufacturer, purchase date
AssignmentAssigned user, department, site, cost centre
FinancialPurchase price, depreciation schedule, book value, budget owner
SupportWarranty type and expiry, support contract, vendor case history
TechnicalCPU, memory, storage, OS build, encryption state, patch level
SecurityEndpoint agent status, disk encryption, last check-in, compliance flags
ConditionGrade A–D, service history, open faults, replacement recommendation
SoftwareInstalled applications, licence keys, entitlement counts, renewal dates

How discovery works

  1. A lightweight agent is deployed to every managed endpoint and server
  2. Agentless network discovery sweeps for unmanaged devices, printers and IoT
  3. Findings are reconciled against finance records and purchase orders
  4. Physical verification at each site confirms location and condition
  5. Gaps are documented: ghost assets, missing devices and unlicensed software
  6. The register goes live with automated daily check-ins and drift alerts

Software licence compliance

  • Entitlement versus installation reconciliation for Microsoft, Adobe, Autodesk and antivirus estates
  • Renewal calendar with 90, 60 and 30-day alerts
  • True-up preparation ahead of vendor audits
  • Reclaim of licences from leavers and idle machines
  • Open-source alternatives assessed where the licence cost is not earning its keep

Most first-year EGreed licence reviews in Rwanda recover more in reclaimed or right-sized licences than the asset management service costs.

Secure disposal and e-waste

  1. Device withdrawn from service and removed from the register's active pool
  2. Data destroyed to NIST 800-88 standard — cryptographic erase, overwrite or physical shred
  3. A certificate of data destruction is issued per serial number
  4. Reusable equipment is refurbished and donated or resold with your approval
  5. Non-reusable material goes to a licensed Rwandan e-waste recycler with a disposal certificate

Certificates are retained in the register so auditors can trace any serial number from purchase order to destruction.

Frequently asked questions

How long does it take to build an asset register?

A 100-device environment is typically discovered, physically verified and live within two weeks. Multi-site estates of 1,000+ devices take four to six weeks.

Do I need to buy asset management software?

No. EGreed provides the platform as part of the service, including agents, dashboards and monthly exports you own.

Can EGreed manage assets we bought elsewhere?

Yes. The register is vendor-neutral and covers any brand, including equipment purchased before EGreed was engaged.

What happens to old computers?

They are data-wiped to NIST 800-88 standard with a destruction certificate per serial, then refurbished for reuse or handed to a licensed Rwandan e-waste recycler.

How does asset management reduce cost?

By reclaiming unused licences, extending device life through condition-based refresh, capturing warranty claims before expiry and removing ghost assets from insurance and depreciation.

Does the register integrate with our finance system?

Yes. EGreed exports to CSV and can integrate with ERP and accounting systems through API so depreciation and asset counts reconcile automatically.
